Job Overview:

We are seeking a highly organized and proactive Legal / Executive Assistant to support firm leadership. This role blends executive support with legal administrative responsibilities and is ideal for someone who thrives in a fast-paced, detail-oriented environment.

You will work closely with partners and leadership to manage day-to-day operations, communications, and legal workflows.

The position is in-office at least four days per week.

Key Responsibilities:

· Executive Support

o Manage complex calendars, scheduling, and meeting coordination

o Coordinate internal and external meetings (including clients and vendors)

o Assist with special projects and firm initiatives

· Legal & Administrative Support

o Prepare, format, and manage legal documents and correspondence

o Maintain and update case management systems (e.g., Clio or similar)

o Coordinate execution of agreements and collect signatures

o Assist with settlement tracking and payment follow-ups

· Operations & Coordination

o Manage office operations, including ordering and maintaining office supplies and snacks

o Coordinate outgoing mailings (certified mail, packages, client correspondence, etc.)

o Liaise with vendors for office-related needs (supplies, shipping, etc.)

o Support general day-to-day office management and logistics

Qualifications:

· 2+ years of experience in legal assistant, executive assistant, or similar role (law firm experience strongly preferred).

· Exceptional communication and active listening skills.

· Highly organized, with the ability to manage multiple tasks and follow-ups.

· Bilingual in English and Spanish is a strong plus.

· Proficiency in standard office software (e.g., Microsoft Office Suite).
